A simple explanation of the terms we use when we talk about AI, data and operations.

API
A structured way for two systems to exchange information and trigger functions. It is what allows, for example, connecting an existing platform to a dashboard, an automation or a language model.
Audit
The record and analysis of what happened in a system, including actions, access and decisions. It helps verify how a system is working, assign responsibility and demonstrate compliance.
Automatic document classification
The use of rules and AI to identify a document's type, subject or priority and route it correctly. It can speed up the triage of applications, invoices, reports or quality records.
Automation
The automatic execution of a task or sequence of tasks that previously required repetitive manual intervention. Good automation reduces time and errors without taking away the team's control over exceptions.
Cloud
IT infrastructure made available through external data centres, rather than being installed only on the organisation's own premises. Its use depends on the security, control and integration requirements of each project.
Dashboard
A screen that brings together indicators and relevant information to track an operation. It should make it possible to quickly understand what is happening, where deviations exist and where action is needed.
Document management
The organisation of the document lifecycle, from intake and classification to filing, search and disposal. In a municipal or industrial context, it reduces scattered information and makes it easier to track processes.
Encryption
The protection of data through encoding, so that it can only be read by those with authorisation. It is applied to information at rest and in transit, according to the architecture and requirements of each project.
GDPR
The European regulation that defines how personal data must be collected, used, protected and retained. In Monolitica's projects, it shapes everything from the design of the solution to access, suppliers and retention periods.
Incident (ocorrência)
An event that requires recording, analysis or response, such as a breakdown, a complaint, an issue, or a request for intervention. Structured follow-up helps reduce response times and identify patterns.
Indicator (KPI)
A measure used to track an important result, such as response time, resolution rate, waste or productivity. A useful indicator is linked to a decision and can be measured consistently.
Integration
A connection between tools, databases or services so that information flows without unnecessary manual work. It allows the operation to improve without replacing every existing system.
Intelligent agent
A system that uses AI to interpret information, make decisions within defined rules and carry out tasks. At Monolitica, it can help a municipal team route requests or an industrial team analyse incidents, always with appropriate oversight.
Intelligent system
A solution that combines data, rules, integrations and AI to support or carry out part of a process. It is designed around the operation and evaluated by the result it produces, not just the technology it uses.
Interoperability
The ability of different systems to exchange and understand information consistently. It is especially relevant when a municipal entity or an industrial company depends on multiple platforms and suppliers.
Language model (LLM)
An AI model trained to understand and produce language. It can summarise, search, classify or draft content, but needs context, rules and validation to be useful in a real operation.
Licensing
The administrative process through which a competent authority receives, reviews and decides on a request for authorisation. Well-integrated systems can support document organisation and process tracking, without replacing the institutional decision.
OEE
An industrial indicator that combines availability, performance and quality to measure a piece of equipment's overall effectiveness. It helps pinpoint production losses and set improvement priorities.
On-premise
A system installed and run on infrastructure controlled by the organisation itself. It can be appropriate when there are specific requirements around security, data sovereignty or connection to internal systems.
Operational data
Information produced by an organisation's day-to-day operation, such as requests, timings, breakdowns, production orders or process states. It is the basis for understanding the operation and building measurable improvements.
Operational picture
A faithful, up-to-date view of how an organisation actually works, including processes, systems, data, teams and bottlenecks. It is the foundation Monolitica builds before proposing a solution.
Predictive maintenance
The use of equipment data to anticipate signs of failure and plan interventions before a breakdown occurs. The goal is to reduce unexpected downtime and make better use of maintenance resources.
Sensorisation
The installation or use of sensors to collect data about equipment, environments or processes. It makes real operating conditions visible and can feed alerts, indicators and predictive maintenance.
Workflow
The sequence of steps, decisions and responsibilities needed to complete a process. Making it explicit helps eliminate bottlenecks, automate tasks and know where each case stands.
